We are looking for an Operations and Admin Associate to join our team and play a pivotal role in streamlining operations, supporting our team, and ensuring smooth administrative functions. Key Responsibilities
Operations Management
- Process Optimization: Develop and refine operational workflows to improve efficiency across the organization.
- Vendor Coordination: Manage relationships with service providers, suppliers, and third-party vendors.
- Data Management: Oversee data collection, storage, and reporting for operational purposes.
- Compliance: Ensure all company policies, procedures, and operations align with legal and regulatory requirements.
- Project Management: Assist in planning, coordinating, and executing key projects, ensuring timelines and deliverables are met.
Administrative Support
- Scheduling: Manage the calendars of senior team members and coordinate meetings, events, and appointments.
- Documentation: Maintain organized and up-to-date records, files, and databases.
- Correspondence: Handle internal and external communications, including responding to inquiries and drafting emails or reports.
- Resource Allocation: Track office supplies and ensure resources are adequately available.
- Onboarding: Support the onboarding process for new hires, including setting up accounts and providing necessary materials.
HR Support
- Recruitment Assistance: Coordinate interviews, manage job postings, and communicate with candidates.
- Employee Engagement: Help plan and execute employee events and initiatives to foster a positive work environment.
- Policy Documentation: Assist in drafting and updating HR policies and procedures.
Financial Administration
- Invoicing and Payments: Assist in preparing invoices, processing payments, and managing financial documentation.
- Expense Tracking: Monitor and report on operational expenses to ensure budget adherence.
Customer Support
- Client Engagement: Respond to inquiries from clients and stakeholders, ensuring timely and professional communication.
- Problem Solving: Act as a point of contact to resolve operational or administrative challenges promptly.
Qualifications and Skills
Education and Experience
- Bachelor’s degree in Business Administration, Human Resources, or a related field (preferred but not mandatory).
- 2+ years of experience in an administrative or operations role, preferably in a start-up or HR-related environment.
Skills
- Organizational Skills: Exceptional ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Communication: Strong written and verbal communication skills.
- Tech-Savvy: Proficient in MS Office Suite, project management tools (e.g., Asana, Trello), and HR software.
